Step 3: Trucking Checks and Documents to Prepare in Order
Paperwork can stall a driving career before it starts. Several steps depend on each other, and some documents expire, so the order in which you collect them saves both time and repeat trips.
This page lists what to prepare, in a practical sequence, and what carriers verify once you apply.
Keep every original in one folder and carry photocopies, since licensing offices and carriers sometimes keep what you hand over. A missing page is the most common reason for a second visit.
- Gather ID and residency papers first, because every other step uses them.
- Be open about health conditions at the DOT medical exam.
- Check your own driving record before carriers do.
Identity and permit first
Start with the documents your state licensing agency asks for: proof of identity, Social Security number, legal presence and residency. Requirements differ a little by state, so read your agency’s checklist before the visit.
You will usually need a valid regular license and a medical certificate before the agency issues a commercial learner’s permit. Study the state CDL manual, then pass the knowledge tests that match the class and endorsements you want. The permit lets you practice on the road with a qualified CDL holder beside you.
The DOT medical exam
Book the exam with a certified medical examiner listed on the FMCSA National Registry. Bring a list of medications, glasses or hearing aids, and records for any ongoing condition. Do not hide a condition; examiners can often clear it with documentation, but a surprise during the exam causes delays.
The certificate has an expiry date. Keep a copy, and note the renewal date so you never drive on a lapsed card.
Records and screenings carriers run
Carriers check items you cannot control, so know what they will see before they do.
- Motor vehicle record from each state where you held a license
- Employment history for the past several years, with dates and reasons for leaving
- Criminal background check, which differs by carrier and by offense
- Pre-employment drug test and a search of the FMCSA Drug and Alcohol Clearinghouse
Request your own driving record in advance and fix any errors. If something negative appears, prepare a short, honest explanation.
A sensible order to follow
This table gives a sequence that avoids paying twice or letting a document expire while you wait for another.
| Stage | What to do | Why in this order |
|---|---|---|
| 1 | Gather ID and residency papers | Every later step needs them |
| 2 | Medical exam, then the permit tests | Medical certificate is part of the permit process |
| 3 | Complete training and take the skills test | The permit comes first |
| 4 | Prepare references, then apply to carriers | Records and a valid CDL are ready |
Ask two or three former supervisors or instructors to act as references, and tell them to expect a call.
